We are a proud worker cooperative, which means we are worker-owned and run. We are part of
a movement for an economy which works for all, and which prioritizes people and planet over
profit. We uplift international cooperative values and principles including care for community,
cooperation amongst cooperatives, training and education, equity, and solidarity. Our
bookkeepers bring an owner’s level of care and concern to each of their clients.
Founded in 2020, we currently have four worker-owners and one employee candidate. We work
with cooperatives, aligned nonprofits, freelancers, and small businesses.
Role: Cooperative Administrative & Operations Candidate
Candidate for worker ownership – at equivalent of one year full time hours is eligible to become
a worker-owner. Becoming an owner requires a $750 investment after the initial candidacy
period. This payment can be broken up over time if needed.
Hours: 15-20 hours per week according to task requirements. Potential for increased hours
pending Wholehearted external admin contracting offerings.

Job Description:
● Remote, 100% virtual
○ Highly flexible schedule accountable to work plans
■ Mondays 10:15 PST/1:15 EST
○ Wholehearted is open Monday-Thursday
● HR Support
○ Running bi-monthly payroll
○ Processing reimbursements as needed
○ Following up on any state tax documents/notices

● Prospective Client Work – support with the following
○ Entering contact form data into our client tracker
○ Responding to prospective clients via email
○ Supporting with sending service proposals
○ Supporting with creating and sending engagement letters
○ Onboarding clients and hand off to the Toast/Avocado
● Client Billing and Internal Books – support with the following:
○ Setting up initial sales receipts
○ Managing recurring sales receipts including offboarding
○ Managing QBO subscriptions for clients as needed
■ adding new QBO subscriptions
■ getting access to client’s existing subscriptions
■ Transferring subscriptions to clients
○ Categorizing Wholehearted Bookkeeping’s transactions and reconciling monthly
○ Entering sales receipts and credit memos for discovery calls
○ Chase accounts receivable / outstanding invoices
● Internal Work – support with the following:
○ Operations meetings once a week
○ Facilitating and notetaking for internal meetings
○ Respond to team emails and messages
○ Technicalities & logistics (Asana, Calendly, deadlines in calendar, 1Password,
track time in Toggl)
● Other Admin Tasks/Duties
○ Maintaining general email inbox
○ Saving receipts into Google Drive folder
○ Staff Appreciation/Client Gift Support
● Client Support – as agreed upon
○ Including running and entering payroll
○ Other client work

Compensation
● Rate: $27.58/ hour as an employee candidate on a W2 basis, updated with annual
COLA increase
● If candidacy completed and becomes a member owner rate would increase to
Wholehearted thriving pay rate

● Knowledge of worker cooperatives
● Fluent in Spanish (oral and written)
● Familiarity with these softwares:
○ Quickbooks Online

○ Toggl Track
○ Asana
○ WordPress
○ Whatsapp
○ 1Password
○ Sync
● Teaching others about finances using popular education methodologies
